Information for New Hires


All new hires are asked to come into Human Resources to complete hire processing which includes filling out an I-9. Employment at TAMUK is contingent upon a successful background check.
Please read the following information.

Before your first day

  • Creating a UIN: A UIN is created using an individual's SSN. This number identifies the individual as an employee in our system. The process is separate from filling out an I-9, therefore, if the new hire chooses not to provide their original social security card they will need to provide a legible copy of their SSN to create a UIN. 
  • Employment Eligibility Verification Form (I-9): New hires and re-hires are required by Federal Law to present to their employer evidence of identity and employment eligibility within 3 business days of their first day of work. Employees must present original signed documents. Click here for a list of acceptable documents.
  • Additional Forms: After creating a UIN and completing an I-9, there are additional forms to be completed depending on the individual's role at the University. The additional forms will be explained to the new hire by an HR Partner. 
  • TrainTraq and Onboarding: Completing the hire process in Human Resources will trigger a temporary password to be sent to the new hire's email address. The UIN and temporary password are used to access several applications necessary during the duration of employment at TAMUK including: TrainTraq and Workday.
    • TrainTraq is where employees are assigned System required training with a corresponding due date. New hires will have at least 5 trainings assigned to them at the beginning of employment.
    • Workday houses all HR and Payroll functions for TAMUK. Employees complete their Onboarding process in Workday and can view their employment related information here.

Non-U.S. Citizen/Non-U.S. Permanent Resident Alien:please contact Jessica Chapa in Human Resources if you need guidance on employment authorization documents.
    • Foreign nationals must enter data into GLACIER, a tax compliance database that will allow payroll to tax you properly. If you do not complete the information in GLACIER, and/or submit the required forms and documents in a timely fashion, the maximum amount of tax will be withheld from your paycheck.
