Student Recruitment

The Office of Employee Services is committed to meeting the needs of hiring managers and candidates, prioritizing the relationship with the candidates. The recruitment and hiring process is crucial for fostering the employee-university relationship. Here at Texas A&M University-Kingsville (TAMUK), HR and hiring managers work together to incorporate professional personnel within our university. Both parties must work in tandem to ensure talent success, as people are the most important asset in our university.

Pre-Hire Process

  1. Handshake Posting
  2. Interview candidates
  3. Select your final candidate
  4. Create a Student Employment Offer Letter (will need to be attached to the Hire Request Form)
  5. Review PIN for reclassification needs and correct Supervisory Org. (if help is needed schedule a training session -TEAMS)
  6. Submit a Student Employee Hire and Change Request Form (Laserfiche)  

​Student Hire/Change Request Form Process

  1. Department Submits Student Employee Hire and Change Request Form 
  2. HR reviews the form**
  3. HR initiates the background check
  4. HR initiates Workday pre-hire process**
  5. Student completes background check
  6. Once Background check is cleared – SW is notified to complete I-9 **
  7. HR & Student Employee complete I-9, SW receives Blue Card** (Blue cards indicates the Orientation date and 1st day of hire)
  8. Student Employee attends the New SW Hire Orientation, they will receive their Gold Card** and can start working in their department​
       **An e-mail notification is sent out.

I-9 Process

Please ensure the student completes Form I-9 with the Office of Employee Services on or before they begin employment.

The employee will need to bring in a Social Security Card (Needed to Create UIN) and I-9 documentation to The Office of Employee Services no later than the Tuesday before their hire date

All student employees must complete their I-9 process no later than the Tuesday before their hire date.

Workday Onboarding Process

The department is responsible for tracking the Hire Business Process created in Workday.

The entire Business Process must complete its routing and should not have any “Remaining Processes”

Please make sure to check if the process has been completed by searching for the employee: 

  1. Clicking on Actions:
  2. Worker History
  3. View Worker History
  4. Once you select the Hire Business Process
  5. Click on Process and scroll down to see what the remaining processes are, if any.

Performance Evaluation

Each semester, a performance evaluation will be required for students employed by Texas A&M University-Kingsville. The performance evaluation is based on the National Association of Colleges and Employers (NACE) career readiness competencies. Please click on the link to begin the performance evaluation process.

Spring 2026: Student Employees who are hired on or before March 13, 2026, must have a performance evaluation submitted by May 8, 2025.


TrainTraq

TrainTraq is an online training portal used by all A&M System members to deliver training content. TrainTraq is accessed through your Single Sign On Menu.


Workday Help

Workday unifies finance and human resources for all students, faculty, and staff. It is a lifecycle management cloud application designed for how people work in today’s organizations. 


Off Boarding Process

Human Resources must be alerted of an employee’s termination before their last day of employment.

  • Notify Human Resources of an employee separation as soon as you are aware of it.
