Camps and Youth Outreach Programs

Insurance for Camps & Youth Enrichment Programs


Insurance requirements for conducting / sponsoring a university camp or youth outreach program:

1. As a condition of approval, each camp or youth outreach program is required to show evidence of general liability and accident medical insurance coverage, or participate in a policy to be purchased by the University. The cost of the required insurance coverage will be the responsibility of the sponsoring department.

2. Third Party Camps must secure their own insurance coverage. They are subject to the same approval and insurance coverage criteria as internal camps. Third Party Camps must provide evidence of a general liability insurance policy under which Texas A&M University-Kingsville is listed as “additional insured”.

3. All insurance coverage shall be approved by System Risk Management in accordance with System Regulation 24.01. System Risk Management will grant approval after a risk assessment has been completed to determine the necessity and type of coverage best suited to mitigate target risk.

Information about the System’s Insurance Program

Note that the medical insurance offered is secondary to any other valid and collectible insurance or medical plan that the injured participant may already be covered under.

Process for obtaining coverage through the Texas A&M System Risk Management Office:

1. Please complete and submit either the Camp/Retreat/Field Trip/Event Application or the Special Event Application which includes a request for a copy of your itinerary and brochure to james.lambert@tamuk.edu.

The Summer Camp Matrix (excel file) must also be completed and returned with the application. Submit the documents to Enterprise Risk Management, james.lambert@tamuk.edu.

This information must be submitted prior to the start of the camp and with sufficient time to ensure that coverage has been secured/approved. You will be notified if additional information is needed.

2. In the event a claim must be filed, please complete the claim form and submitted directly to Health Special Risk Inc. at the following address:

3. At the conclusion of your camp, update the Summer Camp Matrix with your final attendance amounts and forward james.lambert@tamuk.edu for invoicing.
