The New Employee Paperwork is for all staff, faculty, temporary, and graduate assistant employees to complete upon hire. All forms are to be completed with original signatures and submitted with the necessary identification to the Human Resources Department. Employment is contingent upon a successful background check. Please read the following information and scroll down to access the link to the New Hire Packet.
Completing forms: Be sure to completely fill out each form attached; sign and date where necessary. Complete the forms in adobe or print to complete by hand. Original signed documents must be submitted to Human Resources.
Submitting forms: At this time, there is not an option to submit forms online. Please deliver your completed forms, Evidence of Identity and Evidence of Employment Eligibility to the Human Resources Office in College Hall, Room 210. An original Social Security Card is required to be presented to Human Resources for payroll purposes. Human Resources must receive your new hire paperwork within 3 days of your employment start date. Failure to submit these forms in a timely manner could result in your paycheck being delayed.
The Employment Eligibility Verification form (I-9) You are required by Federal Law to present to your employer evidence of identity and employment eligibility within (3) business days of the date employment begins. Employees must present original signed documents.
If you are a Non-U.S. Citizen/Non-U.S. Permanent Resident Alien, please contact the Human Resources Department at (361) 593-3004. Foreign nationals must enter data into GLACIER, a tax compliance database that will allow payroll to tax you properly. If you do not complete the information in GLACIER, and/or submit the required forms and documents in a timely fashion, the maximum amount of tax will be withheld from your paycheck.
UIN (Universal Identification Number) – You will receive a UIN after HR receives and processes your employment documents. Until you receive this number, please leave that field blank on your forms. Please memorize your UIN, as it is required on many forms and for various computer applications throughout your employment with the University.
You are also required to complete several training courses online through the online TrainTraq system. You will receive further instruction regarding the training process at a later time. Completion of all system courses is required.
New Employee Orientation will be held the First business day of the month & the Second Monday of each month. If the Monday is a holiday, Orientation will be held the following day.
Regular Orientation dates:
- June: 1st & 15th
- July: 6th & 20th
- August: 3rd & 10th
- September: 1st & 14th
Special Orientation Dates for Faculty & Graduate Assistants:
- Faculty Orientation: August 17th (faculty only)
- Graduate Assistants: August 21st 8:30am
- Adjunct/Lecturers: August 24th & 25th 6pm
