New Hires

The New Employee Paperwork is for all staff, faculty, temporary, and graduate assistant employees, to complete upon hire on Workday. Employment is contingent upon a successful background check. Please read the following information.

  • Submitting forms: At this time, the new employee hire information will be completed on Workday by the employee. An original Social Security Card is required to be presented to Human Resources for payroll purposes. All new employees must complete required inbox items and then receive a Gold and/or Blue Card from Human Resources to begin working.

  • The Employment Eligibility Verification form (I-9) You are required by Federal Law to present to your employer evidence of identity and employment eligibility within (3) business days of the date employment begins. Employees must present original signed documents.

  • If you are a Non-U.S. Citizen/Non-U.S. Permanent Resident Alien, please contact the Human Resources Department at (361) 593-3004. Foreign nationals must enter data into GLACIER, a tax compliance database that will allow payroll to tax you properly. If you do not complete the information in GLACIER, and/or submit the required forms and documents in a timely fashion, the maximum amount of tax will be withheld from your paycheck.

  • UIN (Universal Identification Number) – You will receive a UIN after HR receives and processes your employment documents. Until you receive this number, please leave that field blank on your forms. Please memorize your UIN, as it is required on many forms and for various computer applications throughout your employment with the University.

  • You are also required to complete several training courses online through the online TrainTraq system. You will receive further instruction regarding the training process at a later time. Completion of all system courses is required.

Orientation Dates:

New Employee Orientation will be held the First business day of the month & the Second Monday of each month. If the Monday is a holiday, Orientation will be held the following day.
