Travel Transportation
The University has established contracts with several Travel Agencies to provide travel services. When an employee needs to purchase public transportation tickets, the employee must contact one of these agencies to make your travel arrangements. Please note that travelers may not purchase first class airline tickets. Check the Texas State Directory for detailed information about contracted agencies and hotels.
What to do when one gets ready to travel?
- Call the travel agency. Tell the travel agent that you are a state employee and the name and three-digit state agency code of the agency you work for. Tell him/her where and when you need to travel and what services you will need, i.e. airline tickets, hotel accommodations, rental car, etc. You will also need to tell the agent how you plan to pay for each of these services.
- Be sure to double check the accuracy of all information with the travel agent before you hang up.
- As soon as you receive your tickets, check all the information to make sure it is correct. Check: your name; the flight times, number and destination; the travel dates; the hotel information; and the rental car confirmation number
- If you must cancel your trip, immediately call the appropriate travel agency and tell them to cancel all reservations (if your hotel reservations not cancelled, you may be billed for the room). Get a confirmation number and/or the name of the person canceling the reservations and keep a record of it. Return your unused airline tickets to the travel agency as soon as possible for a refund. On nonrefundable tickets, contact the travel agency that issued them for possible options. The cost of the tickets will be billed whether they are used or not. Refunds will appear as credits on future monthly charge card statements.

How to use the car rental agency?
- You may reserve a rental car through your designated travel agency or by calling the rental car company itself. If you are flying somewhere and then picking up a rental vehicle, have the travel agency book the rental car at the same time they book the airfare. This will save you time and will ensure there is no confusion, as there might be if you call later to book the vehicle.
- When making a reservation, be sure to identify yourself as a State of Texas employee and give your state agency contract rate identifier number. Verify the rates and get a confirmation number and, again, identify yourself as a State of Texas employee and give your state agency contract rate identifier number.
- Make advance reservations. If you Walk up to the counter at the rental car location without reservation, they are NOT obligated to have a vehicle for you.
